When you Archive a DOC item by clicking on "Ready to Sign / Release" button in a DOC item, a SIGN item is generated.
This SIGN item contains the same content as the DOC item at that time. It is a snapshot of the DOC item at the time of archiving.
A SIGN item can be signed off. The content of the SIGN item (except the electronic signatures) cannot be changed anymore.
Archiving is restricted to DOC items.
Each person who needs to sign the document will get notified in his Matrix instance to sign the document. If needed, an email can be sent as well:
